商务文书写作
第一,作用。
商务文书写作与其他任何文体的撰写一样,其作用和最终目的都是为了与别人进行某种形式的交流与沟通。所以,商务文书写作方面最为重要的一点是避免陷入单向沟通的误区,要时刻站在接收者角度来思考问题并进行某种形式的交流与沟通。
第二,特点。
叶圣陶老先生曾经说过:公文不一定要好文章,但必须写得一清二楚、十分明确、字稳词妥、通体通顺,让人家不折不扣的了解说的内容是什么。所以,商务文书的首要特点是简明,其次则是准确、朴实、庄重、规范等。
第三,分类。
商务文书按照形式来划分,可以分为固定格式、非固定格式的商务文书;按照内容用途来划分,可以分为通用商务文书(如通知、会议纪要、请示、批复、总结以及报告等,这种文体在日常工作中的使用频率较高,我们也会着重为大家讲解。)另一种则是礼仪性商务文书(如贺信、邀请书以及慰问信等)。
第四,步骤。
商务文书写作对于初学者来说或许会望而生畏,其实只要掌握了其中的方法与技巧,就可以迅速进入写作状态中。商务文书写作可大概分为以下几个步骤。1.写作目的。在写作之前,一定要做到明确写作目的是什么,而确定一个目的比兼顾多个更有效率;2.列提纲。无论是商务文书还是其他文章的写作,都是“七分想,三分写”的过程,所以,在撰写之前做列出大纲的工作,实际上是磨刀不误砍柴工的环节,可以在撰写过程中有的放矢;3.正式写作步骤。以提纲做指导,站在读者立场上写作;4.修改。了解文章修改的方法尤为重要,一篇好的文章往往都是一遍遍修改出来的,要做到通篇检查文章用词的准确性、逻辑合理性和标点正确性。
第五,规范性。
规范性在商务文书写作中是极其重要的,在后面的节目中我们将以专题的形式,为大家详细讲解日常工作中常用的、具有固定格式的几类商务文书写作。
商务文书的写作原则
对于写作中要把握的一些基本原则,外国的一些教材中有“ABC”这种说法,也即准备(Accurate)、简洁(Brief)、清晰(Clear)。另外也有4C的提法,也即正确(Correct)、清晰(Clear)、完整(Complete)、简洁(Concise),以下从管理沟通这个角度,对4C作一简单的分析。
(1)正确
“正确”是写作的首要原则,也就是说,写出的文章材料要真实可靠,观点要正确无误,语言要恰如其分。尤其是对文章主旨的把握,在写作前一定要下一番工夫,明了写作的意图,正确地传递想要传达的信息,从而实现有效沟通。
(2)清晰
在正确表达的基础上,应该力求清晰,清晰的文章能引起读者的兴趣,更能使读者正确领会作者的含义。要做到清晰,除了选用符合文章的格式外,还应该注意文章的整体布置,包括标题、大小写、字体、页边距等,尤其是要留下适当的空白,若是把所有的文字都挤在一起,则很难阅读;如果是手写,则不能太潦草,这不仅影响读者的阅读,甚至还会影响到文章的正确性。
(3)完整
写作的一大优势就是使我们有充分的时间思考问题,完整地表达想要表达的思想、观点,完整地描述事实,“完整”是写作的一个要则。在电话或是当面交谈时,常常会遗漏很多想要交流的事项,这是由这些沟通方式的特点决定的,在写作时,为了完整地表述,应该反复检查思考,不断增补重要的事项。
(4)简洁
“简洁”似乎与“完整”是一对矛盾,这其实是一个“度”的把握问题,“完整”是为了表达想要沟通的重要方面,但并不意味着要把所有的事实、观点罗列纸上。可以通过排序的方法,把不太重要的事项删除,也可以对每一字进行评估,把琐碎的、没有太大价值的文字精简掉,使得文章言简意赅。
